KUCCPS Inter-University Transfer 2025/2026: Portal Access, Requirements, and Application Process.

The Kenya Universities and Colleges Central Placement Service (KUCCPS) is a government body responsible for placing eligible students in Kenyan universities, technical institutions, and polytechnics. Occasionally, students may find themselves assigned to institutions they had not anticipated.

In such situations, they are advised to explore the inter-university transfer option by filling out the appropriate forms through KUCCPS.

When a student believes they’ve been admitted to the wrong institution, KUCCPS provides an avenue for inter-university transfers. The process is uniform for both newly placed and continuing students across Kenya.

Requirements for Inter-University Transfer

For those wondering how to switch universities after being placed by KUCCPS, these criteria must be met:

  • The applicant must fulfill the minimum admission requirements for the programme they wish to switch to.
  • They must also meet or exceed the cut-off points for the desired course.
  • Valid justifications for requesting the transfer must be presented.

One student shared, “I was placed in a university far from home and couldn’t manage the living costs. The KUCCPS transfer process was a relief.”

Step-by-Step Procedure for KUCCPS Inter-University Transfer

To initiate a transfer request, follow these steps:

  1. Access the transfer portal: Visit the KUCCPS official website designated for transfers.
  2. Log in: Use your KCSE index number (including county code) to access your account.
  3. Select KCSE year: Choose the correct year from the drop-down list. Your password is either your index number or birth certificate number.
  4. Complete the transfer form: Indicate the new university and programme you wish to join.
  5. Review and submit: Carefully check your details for accuracy before submission.
  6. Await approval: Once approved, download the KUCCPS transfer letter from the portal and submit it to the receiving institution.

A KUCCPS representative noted, “The digital system ensures that students no longer need to draft physical letters. Just log in, fill out the form, and follow the steps online.”

Note: The inter-university transfer fee is KES 1,000. There’s no longer a need to draft or search for transfer letter samples, as the process is entirely online.

Transferring Within the Same University

Students wishing to change their programme or faculty within the same institution do not need KUCCPS approval. They should:

  • Report to the university on the specified admission date.
  • Register for the initial course, then initiate a faculty or departmental transfer by visiting the registrar’s office.

Transfers are allowed if the student meets the academic entry requirements for the new programme and follows the internal university process.

Processing Time for Endorsements

Once the transfer form is submitted, the receiving university must endorse it. The duration for endorsement varies by institution and may range from a few hours to several weeks. Once endorsed, the releasing university processes the application, and it proceeds to the next stage.

KUCCPS Inter-University Transfer Deadlines

Transfer applications are only open for a limited time after placements are announced. Students should check the KUCCPS website to confirm the deadline for transfer requests, which is updated annually.

Eligibility for Inter-Institution Transfers

Students admitted to universities, colleges, or TVET institutions through KUCCPS are eligible to apply for inter-institution transfers. The applicants must meet the entry criteria for the new programme and institution.
