TSC Teacher Recruitment Checklist: Documents Required for Submission.
After the advertisement for teacher recruitment, it is the duty of the Regional Director in Nairobi, along with the County and Sub-County Directors, to oversee the selection process for the declared vacancies.
Applicants are required to submit their applications through the Teachers Service Commission Secretary using the online platform at www.teachersonline.go.ke. These applications should be sent to the respective institution, Sub-County, or County where the vacancies have been announced.

1. Submission by the TSC County Director
The TSC County Director is responsible for submitting the following documents to the TSC Headquarters:
- Signed Minutes: Copies of the minutes from the Sub-County Selection Panel, signed by the Chairperson and Secretary, and verified by the TSC County Director.
- County Merit Lists: These lists should be in line with Appendix IV.
- List of Selected Applicants: This should be based on the Sub-County/County merit list (Appendix V).
- List of Absentees: A list of invited applicants who did not attend the verification process (Appendix VI).
- List of Applicants with Disabilities: Details provided in Appendix VII.
- Signed Offer Letters: Offer of Employment letters should be duly signed.
- Confirmation of Results: For applicants who lack original certificates, provide the original statement confirming their PTE/DPTE (Upgrade), KCSE, or KCPE results from KNEC.
- Medical Examination Report: Submit the original GP 69 medical report form.
Name Discrepancies in Documents
Applicants whose names differ between their academic, professional certificates, and identification cards are required to provide an affidavit.
This affidavit must be sworn under the Oaths and Statutory Declarations Act, Cap 15 of the Laws of Kenya, explaining the inconsistency in their names.

Re-sitting KCPE or KCSE Examinations
Applicants who have re-sat either the KCPE or KCSE exams (or their equivalent) are obligated to present certified copies of their national examination certificates for all attempts.
These certificates must be certified by the respective Sub-County Directors. If any examination was canceled, applicants must submit a letter from the Head of Institution along with a certified KNEC printout from the school verifying the cancellation.
Persons with Disabilities
Persons with disabilities must declare their disability status and provide details about the nature of their disabilities to aid in proper placement.
2. Certified Copies of Documents (Teacher Recruitment Checklist: Documents)
The TSC County Director must also submit certified copies of the following documents in the specified order:
- National Identification Card.
- Teacher Registration Certificate.
- PTE/DPTE Upgrade Certificate.
- KCSE Certificate: Include certificates for all exam attempts if applicable.
- KCPE Certificate: Similarly, include certificates for all attempts if re-sat exams occurred.
- KNEC Letter of Certification: Where applicable, provide a letter from KNEC certifying the results.
- School Leaving Certificates and Testimonials: Provide certificates from primary and secondary schools, along with other relevant testimonials.
- NCPWD Card: If applicable, include the National Council of Persons with Disabilities (NCPWD) Card.
- Affidavit: If there are any name discrepancies, provide an affidavit sworn under the Oaths and Statutory Declarations Act, Cap 15 of the Laws of Kenya.
- KRA PIN, Bank Form, and Bank Card: Submit the Kenya Revenue Authority (KRA) PIN certificate, a filled bank form, and a copy of the front face of the bank card or plate to facilitate payroll enrollment.
- Panel Score Sheet: Provide both soft (in Excel format) via the email [email protected] and a hard copy of the Panel score sheet (Appendix I) for the selected applicants.
The selection panel is expected to adhere strictly to the principles of transparency and accountability. This requirement is in line with the Public Officer Ethics Act and the Teachers Service Commission (TSC) Code of Conduct and Ethics (CoCE, 2015).
3. Board of Management Checklist: TSC Teacher Recruitment
The successful candidate is required to submit the following documents to the Secretary of the Selection Panel:
- Original and clear copies of:
- National Identity Card (both sides)
- NCPWD card (if applicable)
- Two passport-sized color photographs
- Certificates and testimonials: KCPE, KCSE, ‘A’ Level, Diploma, Degree, etc.
- Letter of certification of results by KNEC (where applicable)
- Official academic transcripts
- Teacher Registration Certificate
- KRA PIN certificate
- Bank plate/card (front side)
- Fully completed pay point particulars form
- NHIF card
- Primary and secondary school leaving certificates and other testimonials
- Original medical examination report (form GP 69)
- Acknowledgment of receipt of recruitment documents
4. TSC Checklist: Documents Required for Submission
The Secretary of the Selection Panel is required to submit the following documents to the TSC Sub-County Director:
- Signed minutes of the selection panel showing how many applicants were shortlisted for interviews from the system-generated merit list, and the selection criteria used.
- A completed selection score guide, duly signed.
- Certified copies of:
- National Identity Card (both sides)
- NCPWD card (if applicable)
- Two passport-sized color photographs
- Certificates: KCPE, KCSE, ‘A’ Level, Diploma, Degree, etc.
- Letter of certification of results by KNEC (where applicable)
- Official academic transcripts
- Teacher Registration Certificate
- KRA PIN certificate
- Bank plate/card (front side)
- Fully completed pay point particulars form
- NHIF card
- Primary and secondary school leaving certificates and other testimonials
- Original medical examination report (form GP 69)
- Acknowledgment of receipt of recruitment documents
TSC Regional Directors are tasked with the responsibility of inducting TSC County Directors in their respective regions. These County Directors, in turn, will be responsible for inducting the members of the selection panels involved in the recruitment process.
