TSC Checklist of Essential Professional Documents for Teachers

Teachers play an important role in providing students with a quality education in any educational setting. To ensure that instructors satisfy performance criteria and allow effective curriculum delivery, they must keep a complete collection of professional documentation and records.

The Teachers Service Commission has given a checklist to assist instructors in retaining these critical papers, which are required for teacher evaluation and ongoing professional development.

Current Personal Timetable/Training Schedule: Teachers should have a detailed itinerary that includes their teaching schedule and any continuous training sessions that they are required to attend.

Syllabi, course outline, and curriculum design: Teachers must have current syllabi and course outlines to guide their instruction and ensure consistency with curriculum standards.

Approved Schemes of Work and Work Plans: Teachers must keep approved schemes of work and work plans that outline the topics to be covered and instructional methodologies to be used.

Updated Lesson Plans/Facilitator Guide: Regular production and updating of detailed lesson plans and facilitator guides is necessary to ensure efficient course delivery.

Updated Lesson/Presentation Notes: Teachers should keep detailed notes to accompany their lessons and presentations, which will help with clarity and coherence throughout instruction.

Records of work, session, or activity are checked weekly. Teachers can assess progress and identify areas for growth by checking weekly work, session, and activity data.

Examination Analysis by Subject/Assessment Records: Teachers must keep records of examination analysis and assessment outcomes, both national and internal, to evaluate student performance and inform instructional decisions.

Marked/checked Learners’ Work Exercise Books/Training Reports: By documenting and reviewing learners’ work and training reports, teachers can effectively provide feedback and track student development.

Co-curricular/Team Building Activity Records: Participation in extracurricular and team-building activities should be noted.

Learners’  and trainees’ conduct and behaviour records: records of learners’ conduct and behaviour, as well as guidance and counselling records, are critical for fostering a pleasant learning environment and meeting student needs.

Copies of subject, programme, or departmental meeting minutes: Maintaining copies of meeting minutes helps teachers stay up-to-date on decisions and discussions that affect their subject areas and departments.

Teacher Performance Appraisal and Development Records: Documenting teacher performance appraisal and development activities promotes professional development and accountability.

Individualised Educational Programmes (IEP Records): Students with special needs must keep records of their individualised educational programmes to provide specialised support and track progress.

Documenting participation in ongoing professional development activities demonstrates a commitment to lifelong learning and progress.

Lesson Observation Records: Records of lesson observations offer teachers and supervisors important input for improving teaching effectiveness.
