Option for Grade 6 Learners to Transfer to KPSEA Registration
Grade 6 students who have obtained assessment numbers from other institutions are difficult to register due to the absence of a transfer option.
When registering for the KPSEA, input the learner’s assessment number to conduct a search and modify information. The learner will be automatically transferred to the new assessment centre upon submission.
Handling Learners Repeating a Class
Students who repeat a class, potentially due to missing academic years, automatically advance to the next grade level.
When confronted with this issue, compose a letter to the CEO of KNEC via the SCDE, justifying reverting the student to the preceding grade level. Per this, the request will be processed.
Learners Missing from the Grade 7 Portal
The Grade 7 portal occasionally obscures learners whose KPSEA results are available.
Implementing new registration for students in Grade 7, similar to KPSEA registration, is one solution. If the learner has not registered previously, the system automatically executes transfers.
Accidental Movement or Disappearance of Learners
If students unintentionally advance to Foundation or Intermediate levels or vanish from the CBA portal, don’t worry.
Compose a letter to KNEC containing supporting evidence in the event of accidental movement or disappearance, such as the nominal register of the affected students before the incident. Emphasise the learners who have been impacted by the evidence to facilitate an expeditious resolution.
Rectifying Erroneously Moved Learners
The school may accidentally move learners from the stage-based pathway to the age-based pathway.
Formally requesting KNEC to transfer the students back to the appropriate grade within the stage-based pathway should be the responsibility of the centre manager.
Correcting Biodata Errors Associated with KPSEA Learners
Some KPSEA students’ biodata might contain errors. Please update the biodata of Grade 7 students during the initial registration process. For Grade 8 students, rectify their biodata using the enabled edit option. To facilitate the printing of amended performance reports, the system will synchronise.
Querying Missing KPSEA Results
Have you encountered circumstances in which students who took the KPSEA in 2022 or 2023 have yet to obtain their results? Don’t worry; you can submit inquiries about missing KPSEA results to [email protected] by March 29, 2024.
For the resolution process, schools that have already submitted queries or have not yet done so should adhere to the instructions provided. KNEC is actively addressing inquiries and ensuring that affected learners have access to performance reports.
Transfer Request Management via the CBA Portal
Occasionally, headteachers of colleagues fail to respond to transfer requests submitted through the CBA portal. Adhere to the prescribed administrative procedures when contesting transfer request submissions. The learner will be automatically transferred, and both headteachers will be notified if no action is taken within fourteen days.
Registration of Learners Without Assessment Numbers
Sometimes, assessment numbers are lacking for learners in grades 4, 5, and 6. KNEC shall notify participants via SMS of a limited time to register for said learners. Attend to all unregistered students during this time, as registration will resume in Grade 3. Registration should not proceed without a birth certificate.
Acquiring Assessment Numbers from Other Education Systems for Learners
Students entering grades 4 through 8 from alternative educational systems require assessment numbers. Submit an application for the Qualifications Equation for these learners at qmis.knec.ac.ke or by visiting the KNEC headquarters. Equation letters are then given to learners, who can register and obtain assessment numbers.
Grade 6 Late Admission
After the registration period concludes, KNEC will admit grade 6 students.
Once the registration period ends, KNEC does not allow late registration or transfers. Grade 6 will no longer accept new students after March 29, 2024.
Correction of Errors in the Biodata of KPSEA Learners
If inaccuracies are discovered in the biodata of students who have enrolled in KPSEA, make use of the registration period to rectify the situation. Confirm with parents or guardians any inaccuracies in the following information: name, gender, date of birth, nationality, disability (if applicable), and Religious Education (RE) selection. Finalise any required revisions at the institution level before the conclusion of the registration period; subsequent changes will not be accepted.
The registration was barred due to outstanding fees.
A centre manager may deny a student registration for KPSEA on the grounds of delinquent fees. It is a violation of the regulations to deny a student KPSEA registration based on tuition. All students have their examination fees covered by the government.
Managing learners who did not sit for the KPSEA exam
Have any learners in Grades 7 and 8 not taken part in the KPSEA assessment?
Concern not; the centre manager ought to compose a letter to the CEO of KNEC containing information about the students.
Refusal to Release Learners After Transfer Request
Instances have been documented wherein centre managers declined to release students after a transfer request. To take administrative action, notify the Sub-County Director of Education (SCDE) of the situation.
Clarification on Grade 8 Assessment
There is a belief among certain individuals that Grade 8 students will be required to take the KNEC exams towards the conclusion of the academic year. Students in Grade 8 will be evaluated using school-based assessments during that year and will complete a final summative assessment in Grade 9, per the Basic Education Curriculum Framework.
Age Limits for KPSEA Learners
Concerns exist regarding the age restrictions for KPSEA students. The Ministry of Education (MoE) has established age classification guidelines for students entering pre-primary, lower primary, and upper primary. Stakeholders are required to comply with MoE regulations.
Subject Limits for KCSE Enrollment
The inquiry regarding the maximum number of KCSE subjects that can be registered for has been responded to. A minimum of seven subjects is mandatory for grading purposes, with a maximum of nine subjects permitted for KCSE registration.
Roles of Centre Managers and Teachers in the KILEA Examination
Centre managers oversee the process of downloading assessment tools, whereas the administration, grading, and scoring of candidates’ work are carried out by class instructors or subject teachers. The scores are then uploaded or submitted by centre managers via the KNEC portal.
Handling Assessment Numbers When a School Closes Down
The issue of the assessment numbers of students during periods of school closure has been resolved. KNEC should be promptly notified by the Sub-County Director of Education (SCDE) to retain the assessment numbers of the students for future reference.
Correction of Assessment Centre Data
Have you spelled or renamed assessment centres incorrectly? Submit an application to KNEC via the SCDE for rectification or name change, accompanied by the appropriate registration certificate and a deposit receipt for Kes3,000.00, payable to the KNEC collection account.
Addressing accessibility issues with assessment materials
Potential challenges in obtaining examination materials may arise as a result of assessment centres being misaligned. Coordinate with the SCDE to correct the alignment expeditiously, before the expiration of the registration period. Ensure that 2024 KPSEA, not Grade 6, appears on the nominal register.

To upgrade the headteacher’s information, access “Update School Details” after logging into the CBA portal and selecting KPSEA. After making the necessary corrections, select “Update” to implement the modifications.
